Email Import / Migration

 

Архива archives emails from the point at which the server is deployed. If there is a need to archive older (pre-deployment) emails, they need to be imported separately into the system. The Архива server has inbuilt facilities for importing messages from .EML (RFC2822) format, MBOX format, PST format, and direct import from MS Exchange.
 

Note: Although an import process may show as completed, the activity chart may still show that emails are being processed. The reason for this is that the import progress bar reflects the length of time it takes to extract all the emails and send them to Архива's Receive Queue. The Receive Queue is a temporary queue consisting of emails that are due for archiving and indexing. Once an email is present in the Receive Queue, it may take further time for all emails to be archived to the ACTIVE volume.

To import messages from .EML (RFC2822) , MBOX or PST format, ensure a volume is available for archiving and then click the Import Data button in the Volumes section of the Архива configuration. Select the import source.

 

Enter a local source directory and press the Import button.

Due to the requirements of the lib-pst and independentsoft PST libraries, large PST files >2GB will require large amounts of physical RAM. If you find that the PST import process is stalling, please consider increasing the amount of memory available to Архива.

Missing Folder View

Архива v3.5 (and higher) can be configured to synchronize folder structures associated with all mailboxes in an MS Exchange 2007/2010/2013 environment. When logged in as an auditor, the folder view displays all mailboxes available in MS Exchange. The filter at the bottom left corner of the screen, conveniently enables one to filter out the desired mailboxes. 

Архива keeps a track of folder state changes over time. The date field at the top left corner of the screen, enables one to select a view time. For example, selecting a view time of 31 May, 2013, will present a folder structure as it existed at that sync time. This feature enables one to magically step back into history of any mailbox in MS Exchange.

Архива is capable of performing a direct import of messages from Exchange 2003, 2007, 2010 and 2013. Before an import is attempted, it is necessary to define an impersonation account that has sufficient rights to access all mailboxes.

The Google Import process consists of:

Due to the batch nature of Google’s dump process, the import process can be cumbersome. Follow the below steps to complete the import:

  1. In Configuration->Volumes click the Import Email button
  2. Select Google as the Message Source
  3. In the Import Dialog enter the Google Apps admin email address and password
  4. Click the Import Button
  5. In the Progress Window ensure that login to Google is successful
  6. Close the Window and wait a day or more for requests to be completed
  7. Monitor the process of the Import, in System Status->Processes

Once these steps are performed, Архива should periodically synchronize folders with MS Exchange.

As an added bonus, when syncing with MS Exchange, Архива will automatically archive all contact (vCard) and calendar (iCal) information.

Folder View Permissions

Архива uses the view filter of the logged in user's role to determine which mailboxes and folders should be displayed. For example, an end-user assigned the User Role with the view filter %email%, will only be able to see the folders that pertain to them. An auditor assigned the Auditor role with the view filter empty, will be able to see all folders corresponding with all mailboxes.

To disable the folder view all together, in Configuration->Search, select Show Tree View drop down dialog to suit your preference.

Exchange Import 

When importing emails using the direct Exchange import method, Exchange folder, calendar and contact information is also imported.

PST Folder Import 

When importing PST data in Configuration->Import Data, Архива will import the folder structure of the PST automatically.
